Privacy Policy

We take your privacy seriously around here. This isn't just legal stuff - it's about trust.

Introduction

Look, we're not some faceless corporation here at Runeborn Legion. We're a tight-knit gym community in Vancouver where everybody knows your name (and probably your max deadlift too). When you walk through our doors or sign up online, you're trusting us with your info, and we don't take that lightly.

This privacy policy breaks down exactly what data we collect, why we need it, and how we keep it safe. We're following all Canadian privacy laws (PIPEDA, for those keeping score), but honestly, we'd protect your info even if the law didn't make us - that's just how we roll.

By using our services, signing up for classes, or even just browsing our site, you're agreeing to this policy. If something doesn't sit right with you, hit us up at info@runebornlegion.info and let's talk it out.

What Information We Collect

Personal Details You Give Us

When you sign up for membership or book a personal training session, we'll need the basics:

  • Your name, email, phone number
  • Home address (mainly for billing and emergency contacts)
  • Date of birth (gotta make sure you're old enough, plus age-appropriate programming)
  • Payment info - credit card or bank details for membership fees
  • Emergency contact details (because safety first, warrior)
Health & Fitness Data

Here's where it gets a bit more personal. To keep you safe and design programs that actually work:

  • Medical history and current health conditions
  • Previous injuries or physical limitations
  • Fitness goals and training preferences
  • Progress measurements, body composition data, performance metrics
  • Dietary info if you're doing nutrition coaching with us
Stuff We Collect Automatically

When you're cruising our website or using our online booking system:

  • IP address and browser type
  • Pages you visit and how long you hang out
  • Device info and operating system
  • Login times and facility access records (for security)
Photos & Videos

Sometimes we capture group classes or events for social media and marketing. If you're in the shot, we'll always get your permission first. No surprise Instagram appearances here.

How We Use Your Information

We're not collecting data just for kicks. Here's what we actually do with it:

Running the Gym

Managing memberships, processing payments, scheduling classes, tracking attendance. Basic stuff to keep the lights on.

Training & Coaching

Your health and fitness data helps our coaches design programs that'll actually get you results without getting you hurt.

Communication

Sending class schedules, membership updates, and the occasional motivational kick in the pants. We won't spam you.

Safety & Security

Monitoring facility access, responding to emergencies, keeping equipment and members safe.

Improving Services

Analyzing what's working, what's not, and how we can make your experience better.

Legal Stuff

Meeting legal obligations, handling disputes, enforcing our terms. Hopefully we never need this.

When We Share Your Information

We're not selling your data to sketchy third parties. Period. But there are a few situations where we might need to share info:

Service Providers

We work with payment processors, email services, and scheduling software. They only get what they need to do their job, and they're bound by confidentiality agreements.

Medical Emergencies

If something goes wrong and paramedics show up, we'll share relevant health info. Your life trumps your privacy every time.

Legal Requirements

If the law says we gotta hand over info (court orders, government requests, etc.), we'll comply. But we'll fight it if we think it's unreasonable.

Business Transfers

If Runeborn Legion ever gets acquired or merged (not planning on it, but who knows), your data might transfer to the new owners. We'd make sure they respect this privacy policy though.

Cookies & Tracking Technologies

Yeah, we use cookies. Not the protein ball kind - the digital tracking kind. Here's the deal:

What Cookies Do

These little text files help us remember you when you come back to the site. They keep you logged in, remember your preferences, and help us understand which pages are actually useful.

Types We Use
  • Essential Cookies: These make the website work. Can't really opt out of these without breaking everything.
  • Performance Cookies: Help us see how people use the site so we can make it better. Anonymous stuff.
  • Functionality Cookies: Remember your settings and preferences between visits.
  • Marketing Cookies: Track which ads bring people to us. We use these sparingly.
Managing Cookies

You can block or delete cookies through your browser settings. Just know that some parts of the site might not work as smoothly. Most browsers have a "do not track" option too - we'll respect that.

How We Protect Your Data

We take data security as seriously as we take proper squat form. Here's what we're doing:

Encryption: All data transmitted to and from our servers is encrypted with SSL/TLS technology.
Secure Storage: Your info lives on secure servers with restricted access and regular backups.
Access Controls: Only staff who absolutely need access to your data can see it.
Regular Audits: We review our security practices regularly and update as needed.
Staff Training: Everyone on our team knows how to handle your data properly.
Payment Security: We don't store full credit card numbers. That's handled by PCI-compliant processors.

Real talk: No system is 100% hack-proof. We do everything we can to keep your data safe, but if there's ever a breach, we'll let you know right away and tell you what happened.

Your Privacy Rights

It's your data, and you've got rights. Under Canadian privacy law (and just basic human decency), here's what you can do:

Access Your Info

Want to see what we've got on file about you? Just ask. We'll send you a copy within 30 days.

Correct Your Info

If something's wrong or outdated, let us know and we'll fix it. You can update most stuff through your member portal too.

Delete Your Info

Want us to delete your data? We'll do it, unless we legally have to keep it (like financial records for tax purposes). After you cancel your membership, we'll keep your info for 7 years max, then it's gone.

Withdraw Consent

Changed your mind about us using your data for something? You can withdraw consent anytime. Might affect some services, but it's your call.

Opt Out of Marketing

Don't want our newsletters? Hit unsubscribe or tell us directly. We'll stop sending marketing stuff (but you'll still get important account updates).

Data Portability

Want to take your data elsewhere? We can provide it in a format you can use.

To exercise any of these rights, shoot us an email at info@runebornlegion.info or call (604) 555-7893. We'll get back to you within 30 days.

Children's Privacy

We love training young warriors, but we're extra careful with their data. If you're under 18, we need a parent or guardian's permission before collecting any personal info.

For our junior programs (ages 13-17), parents have full access to their kid's account info and can update or delete it anytime. If you're under 13, your parents handle everything - we won't collect data directly from you.

Parents: if you think we've collected info from your kid without permission, let us know immediately at info@runebornlegion.info and we'll delete it ASAP.

Changes to This Policy

We might update this privacy policy from time to time as laws change or we add new services. When we do, we'll post the updated version here with a new "Last Updated" date at the top.

If we make any major changes that significantly affect how we handle your data, we'll send you an email or post a notice in the gym. We won't just sneak changes in and hope you don't notice.

Keep checking back here occasionally - staying informed about your privacy is important.

Questions or Concerns?
